Why only one person can get in
Desktop accounting software like QuickBooks Desktop and Sage 50 keeps your books in a company file. For more than one person to work at the same time, that file has to live on one computer that everyone can reach, and that computer has to run the software’s database service. When the file sits on someone’s laptop, or the host computer goes to sleep, everyone else gets locked out.
How multi-user is supposed to work
- One always-on computer or server holds the company file in a shared folder.
- That host runs the database service (for QuickBooks, the QuickBooks Database Server Manager).
- Every person runs the same version and year of the software.
- The network and Windows permissions let each workstation reach the shared folder.
- The firewall allows the software to talk between computers.
In QuickBooks, errors like H202 and H505 usually mean a workstation cannot reach the host. The fix is almost always on the network or host side, not the books.
Working from home or on the road
There are three common options:
- Secure remote access to the office copy. Your team connects to the office over a protected connection with two-step login. The file never leaves the office.
- Hosted desktop software. A hosting provider runs your desktop version in the cloud.
- Moving to the online version. Simpler access, but features and workflows change, so plan the move and run old and new side by side through one month-end.
What to avoid: emailing the company file back and forth, or keeping copies on personal laptops.
When your version is losing support
Accounting software versions stop getting updates on a schedule. Find out when yours does and plan the move before then, not during month-end or tax season.
A quick checklist
- Know exactly where the company file lives.
- Back it up every night, and test a restore every quarter.
- Keep the host computer on, updated and off everyone’s daily-use list.
- Turn on two-step login for everyone who can open the books.
